Job summary

Red Hat’s Global Workplace Solutions (GWS) team is looking for an Office Coordinator to join us in Brisbane, Australia. As an Office Coordinator, you will work closely with the Office Manager to manage the office and support Red Hat’s programs. Your daily tasks will vary greatly and may include greeting visitors, creating and using spreadsheets, event planning, vendor meetings, processing invoices, creating or revising documentation, designing program frameworks, and more. You’ll need to be highly motivated, experienced, accountable and be able to work on your own. We’ll need you to be able to thrive in a fast-paced work environment and be committed to contributing to Red Hat’s operational success.

Primary job responsibilities

  • Interact continuously with employees, serving as the first impression for anyone who needs something facilities-related

  • Resolve minor associate issues and escalate them to supervisors when appropriate

  • Manage all activities between internal departments and outside parties

  • Coordinate catering and other needs for internal training classes or customer events

  • Address minor office maintenance issues, meeting room setup, cleanups, etc.

  • Issue communications when required to update associates on services and facilities

  • Assist Office Manager in vendor management which includes setting up suppliers, invoice tracking, and updates to the budget-tracking sheet

  • Handle all maintenance and repair issues between the building, property management, and outside vendors

  • Coordinate setups for all new employees, which includes onboarding, building tours, or induction

  • Be jointly responsible for the local office intranet page, ticketing system, and other computer-based systems

  • Assist with all workplace health, safety, and environmental initiatives, including global or regional programs as mandated by law or policy

  • Implement global or regional facilities programs and policies

  • Maintain the physical security system and continuously follow the global security policy

  • Work on assignments that are semi-routine in nature but occasionally deviating from accepted practice

Required skills

  • 2+ years of experience

  • Excellent written and verbal language skills in English

  • Proven performance in delivering excellent customer service

  • Ability to handle multiple tasks at once and prioritize

  • Ability to maintain a professional business appearance at all times

  • Detail-oriented with an ability to work with little direct supervision

  • Familiarity with office applications; prior experience with Oracle is a plus

  • Extensive experience developing systems and processes to make all office operations run smoothly is a plus
