This role’s key focus is to provide support to Arup Queensland Transport and Resources bidding activities including coordinator and submission of bids in Queensland.

Additionally the role will also provide backup Business Administrator support to the group and Group Leader and where needed. The role requires a broad skill base, a high degree of technical capability, problem solving capability, flexibility, and professionalism. It also requires strong interpersonal and relationship building skills.

Key Accountabilities

  • You will be required to work under minimal supervision, referring up as necessary.

  • Co-ordinate specific tender processes, including bid scheduling, compliance, and document

production. Tenders will range from major multidisciplinary, multi-company infrastructure

projects to small, technically-specific projects.

  • Liaise with key personnel and others within the region to ensure timely delivery of information

required to meet internal and external (client) deadlines and priorities.

  • Co-operate with other team members to achieve work outcomes.

Key Tasks

Administrative assistance in terms of bid support including, but not limited to:

  • Proposal template preparation

  • Gathering of required inputs

  • Research in support of the bid

  • Compilation of necessary documentation

  • Final presentation

  • Polishing of final bid document

All other BA tasks as required including, but not limited to:

  • Project Support

  • Travel Bookings

  • AMS support

  • Invoicing of projects

  • Report formatting

  • Support to group leadership team

  • Financial systems

Key Skills

  • Microsoft office suite 2010:

  • Outlook (Advanced)

  • Word (Advanced)

  • Excel

  • PowerPoint

  • SharePoint (desirable)

  • Visio (desirable)

  • Excellent written and verbal communication skills – this is non-negotiable

  • Excellent literacy and numeracy skills – this is non-negotiable

  • Knowledge of bidding best practice, preferably within a similar field.

Key Experience

  • Achieved a professional qualification and minimum two years of business experience.

  • Experience in the development and production of tenders, capability statements, expression’s

of interest, proposals, reports and other documentation.

  • Track record in relationship-building and influencing techniques.
