About the role

As an Administrative Assistant you will be providing high level paralegal support to the Legal, Compliance & Public Affairs team. The successful candidate will be responsible for supporting this established team of professionals, whilst working on an exciting variety of administrative and some paralegal duties.

Your main responsibilities will include:

  • Preparing letters, memos, emails, faxes and other forms of routine correspondence

  • Assisting in producing reports, manuals, and presentations

  • Organising and maintaining the department’s file and archive systems, file correspondence and other documentation including data entry for various databases & registers

  • General paralegal duties such as having agreements signed by Directors and distributing appropriate papers

  • Assisting with basic legal agreements such as confidentiality & service agreements

  • Initial point of contact for subpoenas and other requests for information

  • Travel and expense management

  • Assisting the Company Secretary with various corporate secretariat matters including arranging meetings, preparation and distribution of board papers and maintaining company and subsidiaries corporate minute books

  • Assisting with content and maintenance of department’s intranet sites

  • maintaining team’s library & some loose-leaf subscription services

  • Other tasks as required

Qualifications

Skills and experience required:

  • Prior experience in a highly administrative role within a corporate environment

  • Strong attention to detail with a high level of writing and communication skills and the ability to draft and edit concisely

  • Law/Paralegal qualifications or experience will be highly regarded

  • Excellent organisational skills and attention to detail

  • Computer literate (Word, Excel and PowerPoint)

  • Enjoy working in a team environment witha helpful and positive attitude

  • Proactive approach to resolving issues
