Colliers International Personal Assistant & Office Coordinator in Parramatta, Australia
The Personal Assistant and Office Coordinator will provide secretarial and administrative support to the National Director of Industrial as well as the wider Western Sydney office.
Some of the responsibilities of this role are:
Provide personal assistance to the director by preparing all correspondence, discussion papers, client lists, submissions and marketing reports ensuring all documentation is brand compliant in accordance with the colliers International Visual Identity Guidelines.
Composition of correspondence to other divisions, interstate offices and clients
Attend support staff and general office meetings
Preparation of expense claims
Arrange and coordinate successful client and staff/office events and functions, including invitations, venues, catering, room set up and logistics to ensure events run smoothly and meet objectives
Supervise and train receptionists if required
Oversee the reception function to ensure that the office runs as smooth as possible
Coordinate all office events
Liaise with contractors for all maintenance to be completed in the office
Liaise with building management to ensure the tenancy meets the standard
First aid officer & OHS committee member.
The core competencies and role requirements are:
Minimum of 3-5 years in a similar role
Good communication and interpersonal skills
Excellent corporate presentation
Advanced knowledge of Microsoft Office
Excellent problem solving skills, attention to detail and able to adapt priorities as required
