Job Summary

Primary Responsibilities

  • Support Practice Line Lead & Project Managers with team operations and management.

  • Gather, collate, and prepare data to use for status or monthly reporting.

  • Monitor Unbilled and AR for all team projects; follow up with PMs on at least a monthly basis to facilitate strong.

  • financial performance of D+P - keep Practice Lead informed

  • Attend and prepare minutes of project/client meetings as required and follow up on action items.

  • Liaise with the Project Finance team, PMs, and PDs to facilitate smooth workflow of system related tasks, prompting individuals when necessary.

  • Assist PMs with compilation of invoices and collate staff hours and costs as required.

  • Perform Document Management on the Project, if required.

  • Assist PMs with the generation and maintenance of registers, if required.

  • Understand sub consultant requirements on projects and assist PMs when necessary, when engaging and assessing a sub consultant.

Secondary Responsibilities

  • Assist PMs and PDs when preparing for an internal or external audit.

  • Assist with approval for overhead supplier purchase orders and submit approved invoices and purchase orders to Finance.

  • Identify projects for closure weekly, ensure closure form completed, archive hard copy folder, and notify IT to archive electronic file.

  • Assist with the coordination of PPE, medicals, and drug and alcohol testing as required by projects.

  • Distribute incoming mail, organise outgoing mail, and couriers.

  • Maintain client database (differs in all business lines).

Minimum Requirements

Qualifications & Experience:

  • Some exposure to Project Management

Skills/Attributes:

  • Excellent knowledge of Microsoft Office suite including Word, Excel, Outlook, PowerPoint and Visio.

  • Excellent written and verbal communication skills, including the ability to liaise and consult with staff at all levels within the organisation and a range of external clients.

  • Excellent organisational skills.

  • Ability to prioritise multiple tasks and meet deadlines.

  • Professional attitude and high level of attention to detail – takes responsibility for own tasks and work.

  • Ability to work as an individual or as part of a team, with minimal supervision.

  • Ability to engage with other areas of the AECOM business to understand systems and processes.

  • Highly motivated, enthusiastic, proactive and keen to learn.
