LinkedIn s Global Workplace Services organization is responsible for designing and delivering facilities and services that reflect LinkedIn s culture to create an environment where people love to come to work, interact with their colleagues, and deliver exceptional results. We are looking for an extraordinary individual that has substantial, hands-on experience in leading a team of workplace professionals (inclusive of facility management, food service, office services, physical security, project management, space management, and events).

The Australia Workplace Manager reports to Regional Workplace Leader and provides leadership across the global Workplace Operations team for Australia (Sydney, Melbourne and other locations in the future).

Responsibilities

  • Overseeing the delivery of all workplace services (includes: facility management, food services, events, space management, office services & minor project management)

  • Understand regional business strategies and translate them to Workplace requirements, with the objective to deliver necessary space and services proactively and effectively.

  • Collaborate with GWS Global Team for the real estate and project management initiatives for identifying new office space, vendor selection to assist in executing office design and development, project execution, refurbishment and commissioning of the office.

  • Support Budget Owners to manage annual operating and capital budgets needed to operate and maintain the facilities and as required for new fit-outs or relocations. Responsibilities include providing accurate and timely capital and operating expense forecasts; actuals against budget and forecast; and variance details where appropriate.

  • Initiate vendor development and identification programs for various services with the objective of maintaining sustainable and mutually beneficial relationships with partners. Drive contract reviews and finalization with selected vendors / contractors

  • Responsible for complete arrangements for annual events, conferences, seminars and other functions of the company organized from time to time. Liaise with government authorities, regulatory department etc for smooth and seamless compliance with required statutory and legal requirements

  • Responsible for developing and maintaining engagements with key internal customers to understand Facilities implications of business strategy and direction. Regularly engage with key executives to forecast facility requirements and develop workplace programs in response to planned business activity and employee satisfaction

  • Management responsibilities for the development & execution of Workplace operational plans, strategies & budgets.

  • Liaise with GTS, HR, Finance and Strategic Sourcing to ensure that Workplace objectives are supported; operate as the liaison for all Workplace Services initiatives.

  • Proactively identify and recommend initiatives that focus on service improvements, cost reductions, quality improvements, risk mitigation, industry trends and other relevant factors that affect workplace effectiveness (BMS, lighting, HVAC, furniture, AV, etc).

  • Develop a strategy and method to achieve efficient delivery of services, considering the following as performance measures: quality, cost and timeliness.

  • Communicate with internal stakeholders & leaders to ensure alignment with the regional business and smooth execution.

  • Collaborate within Global Workplace Services to ensure effective delivery of space & services for Linkedin employees.

  • Develop & implement standardized/best practice processes that create repeatable efficiencies.

  • Ensure a managed approach to receive & resolve workplace maintenance & service complaints; resolve issues considering appropriate work practices and proactive customer communications.

  • Travel up to 20% may be required.

Basic Qualifications

  • Bachelor's degree in Engineering, Architecture, Design, or Business, with 10+ years of experience in similar roles, or equivalent corporate experience

Preferred Qualifications

  • Strategic thinking: ability to analyze a complex situation to come up with a strategy to move the organization to a better situation; with agile execution, being adaptable whilst keeping the focus right.

  • Communication: demonstrated ability to communicate clearly and effectively, both in verbal and written form, especially in remote management situations.

  • Interpersonal: demonstrated ability to listen to others to understand their perspectives, to define and communicate objectives and programs effectively, and persuade vendors and contractors to perform to meet commitments.

  • Self-motivated and performance driven

  • Demonstrated experience in delivering to performance objectives, for scope, schedule and cost

  • Understands key concepts in real estate, workplace strategy, project management, operations management, food service, vendor management, and real estate finance.

  • Substantial staff management experience for large, multi-location and varied-functions.

  • A persuasive and credible communicator who earns the trust of colleagues and senior management.

  • Excellent collaborator: capable of working with others to find solutions to complex problems.

  • Exceptional negotiator: experienced in a variety of services & contract types.

  • Effective vendor management: focused on the delivery of excellent customer service.

  • Able to understand and immerse oneself with the unique LinkedIn culture and ensure Workplace Operations plans are consistent with it.

  • Candidates with proficiency or relevant certificationsin the following preferred:

  • Microsoft Word, Excel, Project, PowerPoint, Visio, and AutoCAD

  • BMS & security control & emergency response systems & processes (ERT, Business Continuity)

  • Financial management, specifically budget planning, accrual accounting & reconciliation.

  • Mechanical, electrical & IT systems operations

  • CFM, MCR, MCR.w, SLCR, or similar

  • PMP Certification or relevant experience leading projects,

  • LEED Certification in building design and construction, interior design and construction, or building operations and maintenance
